Operations Assistant

Keep the engineers moving. You will sit at the centre of our Marlow office, planning service visits, chasing paperwork and making sure every job that leaves the diary comes back certificated.

About the role

Pro-Active Fire Safety is a family-run active fire protection company based on the Globe Estate in Marlow. We look after fire alarms, emergency lighting, extinguishers, suppression systems, dampers, AOV smoke ventilation and fire safety training for customers across the Thames Valley and the M4 and M40 corridors.

The Operations Assistant keeps that work organised. You will be the person our engineers, our customers and our office team all rely on to know where a job is up to. It is a varied, busy role with plenty of responsibility from day one, and a clear route into planning, account management or a supervisory position as you learn the industry.

What you will be doing

  • Planning and booking service and maintenance visits into the engineers' diaries, making the best use of each day's travel
  • Answering calls and emails from customers, taking new job requests and keeping people updated on when we are coming
  • Raising job sheets and purchase orders, and checking completed paperwork and certificates back in
  • Keeping service records and asset registers accurate so customers can prove their systems are being maintained
  • Chasing outstanding remedial quotes and following up on works that have been recommended but not yet ordered
  • Ordering parts and materials and keeping an eye on van stock levels
  • Producing weekly reports against our service KPIs so nothing slips past its due date
  • Supporting the wider office team with general administration as the business grows

What we are looking for

  • Organised, with the confidence to keep several jobs moving at the same time
  • A clear, polite telephone and email manner — you will be speaking to customers every day
  • Comfortable with Microsoft Excel and picking up new systems quickly
  • GCSE English and Maths at grade C/4 or above
  • Accurate with detail; in fire safety the paperwork matters as much as the visit
  • Happy working as part of a small team where everyone helps out
  • Previous experience in service scheduling, planning or fire and security administration is a bonus, but we will train the right person
