What we collect and why

When you contact us or request a quote

If you use our contact form, email us or phone us, we collect your name, email address, phone number, company name, the site you need help with and anything you tell us in your message. We use this to reply to you, prepare quotes and arrange visits. Our legal basis is your request to take steps before entering into a contract, and our legitimate interest in running our business and replying to enquiries.

When you become a customer

We hold the contact details, site details, service history, certificates and invoices for the work we carry out. We use these to deliver and invoice our services, keep the records the British Standards and our accreditation schemes require, and remind you when servicing is due. Our legal bases are performance of our contract with you, compliance with legal obligations and our legitimate interest in running our business.

Marketing

We only send marketing emails to people who have asked to receive them or who are existing customers hearing about similar services. Every marketing email includes a way to unsubscribe, and you can ask us to stop at any time.

Job applications

If you apply for a role, we use the information you send us to assess your application and, if you are successful, to start your employment.

Who we share information with

We do not sell your personal information. We share it only with:

service providers who help us run the business, such as website hosting, email, our contact database and online forms (HubSpot), analytics and advertising (Google), and accounting and job management software;
subcontractors or accreditation bodies where this is needed to carry out or audit the work, for example BAFE and BSI;
our professional advisers, insurers and, where required by law, regulators or the authorities.

Some of these providers are based outside the UK. Where this happens we make sure appropriate safeguards are in place, such as the UK International Data Transfer Agreement or an adequacy arrangement.

How long we keep information

We keep personal information only for as long as we need it for the reasons above. Enquiries that do not lead to work are kept for a limited period and then deleted. Customer records, certificates and invoices are kept for as long as the contract, our accreditation and our legal and tax obligations require.

Your rights

You have the right to ask us for a copy of your personal information, to have it corrected, to have it erased, to restrict or object to how we use it, and to receive it in a portable format. Complaints
